OVERVIEW


The Assistant Property Manager performs various tasks to ensure long-term occupancy in company properties by providing the highest possible level of customer service to tenants and maintaining the appearance of assigned properties to company standards. 

 

Assists in the management of operating costs and approved capital expenditures for assigned properties. Oversees and coordinates activities of the company’s Tenant Service Technicians and third-party service providers for assigned properties. Supports the management of commercial, office, industrial or flex real estate properties by performing the following duties personally or through subordinate supervisors.


JOB RESPONSIBILITIES




  • Assist move-in process to tenants’ satisfaction. Visit tenants regularly and maintain a positive, productive and professional relationship. Perform lease administration and assist with tenant renewals, expansions and contractions. Oversee tenant move-out process and space restoration.
  • Regularly inspect and evaluate all building equipment, systems and grounds to ensure that the appearance and operation of the company’s properties meet company standards. Oversee emergency procedures protocol and preventative maintenance programs for all buildings. 
  • Support the work order system to ensure that tenant service calls are handled with 100% customer satisfaction.  
  • Support SPM in the negotiation of contracts with key outside contractors to provide services as required. Ensure that work performed by contractors is performed timely and appropriately and with applicable liability/insurance coverage.
  • Assist SPM with the preparation of budgets, reconciliations and escalations.
  • Run Accounts Receivable reports and General Ledger reports monthly. Call delinquent tenants and/or prepare reminder letters.
  • Review monthly expense reports for technicians.
  • Complete direct bill invoices to tenants and follow up to ensure timely payment
  • Conduct final construction inspections and prepare punch lists when needed.
  • Prepare requests for proposals and service contracts.
  • Coordinate activities associated with tenants moving in (e.g. welcome packages, gifts, etc.)
  • Maintain tenant improvement files and contracts.
  • Draft, proofread and send correspondence and tenant notices.

JOB REQUIREMENTS



  • High school diploma or GED required. 
  • At least three years of property management experience required.
  • Highly prefer experience in managing office spaces and commercial properties.
